General Terms and Conditions of Travel Sale

The general terms and conditions of sale that govern the relationships between travel agencies and their clients apply to all commercial transactions. These form an integral part of the contracts, verbal or written, concluded between Horizon Vietnam Travel agency and the client.
1. Booking and Confirmation
Following confirmation of the stay by the client with Horizon Vietnam Travel, a 30% deposit on the total cost of the trip will be requested. Payment of this deposit constitutes a definite commitment between the two parties. The balance must be paid upon arrival in Vietnam. However, if the tour begins in Laos, Cambodia or Thailand, the balance must be paid 30 days before the departure date (detailed payment methods will be communicated by one of our travel consultants). If this rule is not observed without prior agreement, the situation will be considered a cancellation, in accordance with the provisions indicated in point 4.a.
Upon receipt of payment, we will proceed with all necessary bookings. The contract and invoice will subsequently be sent to the client by fax or email.
2. Prices and After-Sales Service
The rates offered are expressed in euros and are established on the basis of services clearly indicated in the program. The prices do not include any service prior to check-in at the departure airport, nor beverages, tips, personal expenses or visa fees. Rates may be subject to changes depending on flight prices, currency fluctuations and hotel or land transport rates.
After sale, these rates will remain valid for the period indicated by Horizon Vietnam Travel for the purposes of determining prices, invoicing or transmitting any other document to the client.
During the validity period of prices, these may be adjusted in case of significant currency fluctuations, substantial increases in fuel costs, hotels, air or land transport. If the client refuses the justified adjustment, Horizon Vietnam Travel reserves the right to cancel the program, reimbursing the deposit paid by the client.
3. Trip Modification
a. Modification by the Client
At any time, the client can request modifications to their trip. Our agency will do its best to meet such requests, within the limits of service availability. Any modifications may incur a surcharge if the new services involve a higher cost. We commit to handling such requests with the utmost promptness.
Shifting the arrival date is considered a modification. Reducing the number of participants, on the other hand, is not considered a modification and will result in the application of cancellation penalties for those who withdraw, as well as a revision of rates for the remaining participants.
b. Modification by Horizon Vietnam Travel
In case of force majeure, such as program modifications due to objective causes (changes in internal flight schedules, weather conditions, etc.), Horizon Vietnam Travel will make modifications for the client’s benefit and inform them as soon as possible. In such cases, the client cannot request refunds or compensation.
4. Cancellation
a. Cancellation by the Client
In the event of cancellation by the client, for whatever reason, the following cancellation penalties will be applied:
– 10% of the total trip price for cancellations made more than 30 days before the start of the trip
– 20% of the total price for cancellations from 16 to 30 days before the start date
– 30% of the total price for cancellations from 6 to 15 days before the start date
– 70% of the total price for cancellations from 2 to 5 days before the start
– 100% of the total trip price for cancellations made less than 48 hours before the start
This rule applies to all services booked by the client with Horizon Vietnam Travel.
b. Cancellation by Horizon Vietnam Travel
HORIZON VIETNAM TRAVEL reserves the right to cancel contracts in case of force majeure that prevents the organization of the trip, in particular in situations such as political instability, health crises, natural disasters, air transport blockades or armed conflicts, for which the Vietnam Ministry of Culture, Sports and Tourism prohibits tourist activities. In such cases, clients will be reimbursed as soon as tourist activities return to normal.
5. Insurance and Liability
Every person participating in a trip organized by Horizon Vietnam Travel must compulsorily take out international travel insurance before departure that covers at least medical expenses and repatriation. This insurance is generally offered to clients by ticket agencies at the time of purchase of the international airline ticket. The insurer details and policy number must be communicated to our agency before the start of the trip.
During the trip, the client is required to comply with the rules indicated by the guide or any other representative of Horizon Vietnam Travel, aimed at ensuring client safety and the proper implementation of the program.
Our agency undertakes to provide all necessary on-site assistance in the event of an accident covered by insurance, assisting the client with administrative procedures with local authorities and the insurer.
As a local agency, we do not directly arrange travel insurance, which must be taken out by the client in their country of origin before departure.
Always attentive to our clients’ expectations, our agency commits to doing its best to offer high-quality services. It acts as an intermediary between the traveler and the various service providers (airlines, hotels, transport, restaurants, boats, etc.). However, our responsibility cannot be invoked for damage caused by the travelers themselves, nor for lost or stolen items, nor for expenses arising from accidents, natural disasters or events of a political nature.
6. Claims
In case of difficulty, the parties undertake to seek an amicable solution. Should an agreement not be reached, the dispute will be submitted to the Chamber of Commerce and Industry of the International Arbitration Center of the Socialist Republic of Vietnam. All claims must be submitted in writing within 30 days from the end of our services.
7. Formalities
Before conclusion of the contract, the seller informs the client about the administrative and/or health formalities necessary for the realization of the trip (identity card, passport, visa, vaccinations, etc.). The completion of these formalities and their related costs are the sole responsibility of the client.
8. Personal Data Confidentiality
To ensure the confidentiality of information on our site, we use security protocols and systems. Personal data entered on the site is protected via Secure Socket Layer (SSL) and firewalls that prevent unauthorized access. Clients have the right to access, modify, correct and delete personal data concerning them, to be exercised with Horizon Vietnam Travel.
9. Secure Payment
Credit card payments made on our site are managed by the bank ACB. Card data is transmitted in encrypted format to the issuing bank and is in no way accessible to Horizon Vietnam Travel.
10. Discounts for Children
Children under 2 years of age who do not occupy an individual seat on the plane or an adult bed must pay accommodation and meal expenses directly on site.
Children aged 2 to 5 years pay 40% of the adult rate without an extra bed; the rate is 80% of the adult rate with an extra bed.
Children over 5 years of age are considered adults (any reductions upon request).
11. Hotel Accommodations
According to international hotel hospitality regulations, rooms must be vacated by noon. Assignment of new rooms generally occurs from 2:00 PM onwards.
The hotel classification indicated in this brochure is not arbitrary and is based on information provided by our local partners.
